Feeding a Crowd on a Budget: Easy Party Food Ideas for Large Gatherings
Feeding a crowd on a budget doesn’t have to be stressful, complicated, or expensive.
Over the years, I’ve learned that with a little planning, smart food choices, and a good self-serve setup, it’s completely possible to feed more than 100 people without spending a fortune or being stuck in the kitchen all day.
The key is choosing food that can be prepared ahead of time, served easily, and enjoyed casually by guests of all ages.
My Best Tips for Feeding a Crowd on a Budget
When planning food for large gatherings, simplicity is your best friend.
These are the strategies I always use when entertaining large groups:
Choose Make-Ahead Recipes
Preparing food in advance takes so much pressure off on the day of the party. Slow-cooked meats, sliders, taco fillings, and buffet-style dishes are perfect because they can often be made the day before.
Keep Flavours Simple
When feeding a large group, it’s easier to stick with crowd-pleasing flavours and allow guests to customise their food with toppings and condiments.
Spice and heat can easily be added individually rather than trying to cater to everyone’s preferences in one dish.
Make Everything Easy to Self-Serve
Self-serve food stations are one of the easiest ways to manage large gatherings.
I like to decant sauces and condiments into squeeze bottles and clear containers because they’re easier for guests to use and help the food table stay neat and organised.
Some of my favourite entertaining essentials include:
- Clear squeeze bottles for sauces and mayonnaise
- Flip-lid containers for salad toppings
- Small mason jars for thicker condiments like mustard or chutney
Not only do they look tidy, but guests can also easily see what everything is.
The Party Food Menu
For this particular gathering, I decided on three easy self-serve options that worked perfectly for feeding a crowd on a budget:
- Baked Ham Sliders
- Walking Tacos
- Tortillas and Taco Boats
The taco station used the same fillings and condiments across multiple serving options which helped keep costs down while still giving guests variety.
I prepared:
- Mexican beef mince
- Mexican shredded chicken
Using the same proteins in multiple ways is one of the easiest ways to simplify large-scale entertaining.
I also recommend using smaller serving containers and refilling them throughout the event. This helps keep food fresh and makes the buffet table look neat and inviting.
Baked Ham Sliders
Ham sliders are one of my favourite party foods because they’re simple, filling, and easy to prepare ahead of time.
The baked ham can easily be cooked the day before or on the morning of the party.
As a guide, I usually allow:
- One small dinner roll per guest
- Knowing some people won’t eat one while others may have two
To make self-serving easier, especially on smaller tables, I like to pre-butter the rolls before guests arrive.
Slider Toppings
For our slider station, I included:
- Tomato
- Cheese slices
- Mustard
- Balsamic beetroot chutney
- Corn relish
The beauty of sliders is that you can easily customise the toppings to suit your guests and budget.
Walking Tacos: Perfect for Feeding a Crowd on a Budget
Walking tacos were especially popular with the younger guests because they’re quick, fun, and easy to eat while mingling.
If you’ve never made walking tacos before, they’re incredibly simple.
How Walking Tacos Work
- Grab a small bag of corn chips or Doritos
- Lightly crush the chips inside the bag
- Open the bag
- Add your choice of meat
- Top with condiments and enjoy straight from the packet
They’re practical, affordable, and perfect for casual entertaining.
Taco and Tortilla Toppings
Alongside the walking tacos, we also served tortillas and taco boats using the same fillings and toppings.
The condiment station included:
- Lettuce
- Grated cheese
- Sour cream
- Guacamole
- Mild taco sauce
- Spicy taco sauce
This setup worked beautifully because guests could customise everything themselves while I spent more time enjoying the party instead of managing the food table.
Simple Entertaining for Large Gatherings
One of the biggest lessons I’ve learned about feeding a crowd on a budget is that people don’t need overly complicated food to have a great time.
Simple, flavourful, self-serve meals are often the most successful because they create a relaxed atmosphere and make entertaining easier for everyone.
With a little preparation and thoughtful setup, you really can feed a large group without overspending or overcomplicating things.

Baked Ham
Equipment
- Roasting Pan
- Meat Rack
Ingredients
- 1 Leg of Ham
- 1 Jar of your favourite fruit jam I have used many different flavours of jam when baking my hams. My favourite is Pear and Vanilla but any flavour will work great. Apple & Cinnamon, Fig, Cranberry Sauce
Instructions
- Preheat oven to 150°C.
- Remove the skin from the ham. You can do this easily by using a knife to detach the skin from the shank and then slowly use your fingers under the skin to remove it. The idea is to retain as much fat as possible. This is the trickiest part of the recipe!
- Next you will need to score the ham fat. Just cut along the ham fat diagonally, being careful not to go too deep into the ham. Then go diagonally in the opposite direction to make diamond patterns. You can also just cut lines across the ham. Or use your imagination and try something different. The reason for doing this is just so that the jam has a place to sit and flavour the ham and it looks great once its cooked. Delicious!
- Place the ham on the meat rack in the roasting pan and fill the pan to the halfway mark with water. The reason for this is that it will keep the ham super moist and it will also prevent the sticky jam from making a mess of your pan.
- The ham will need to bake slowly for about 2hrs. Check it after the first hour to make sure the water hasn't evaporated, if it has carefully replace it.
Mexican Beef Mince
Ingredients
- 2 kgs beef mince
- 1 Sachet of mild taco seasoning
- 2 Cans of chopped tomatoes
- 500 mls Chicken stock
- 1 tbsp Olive oil
Instructions
- Fry the mince in the oil in a large saucepan on medium to high heat. You will need to do this in two lots so that you can get the mince nice and brown.
- Add the taco seasoning and the canned tomatoes.
- Add half the stock and simmer for 30 minutes on high heat. Check at this stage to see if you need to add the remainder of the stock. You want to simmer the mince until the liquid evaporates and you are left with a moist but not watery mixture. This usually takes about an hour but it might take a bit longer depending on your stove and the liquid in the tomatoes.
Notes
- I used mild taco seasoning in this recipe as it makes it more versatile for a mixed group. If you like more heat add a spicy taco seasoning instead.
- You will need to keep checking on the meat in the last half of the cooking to make sure that as the liquid evaporates the mixture doesn’t burn.
- If you want to cook this for less people you can halve the recipe or alternatively you can freeze in smaller lots for use at another time.
Mexican Shredded Chicken
Ingredients
- 2 Rotisserie Chickens – meat removed
- 2 Jars of mild tomato salsa
- ½ Sachet of mild taco seasoning
- 1 Can of Red Kidney Beans, drained and rinsed
- 1 Finely sliced onion
- 1 Red capsicum, finely chopped
- 250 mls Chicken Stock
Instructions
- Add all ingredients together in a large saucepan and simmer on medium/low until all excess moisture has evaporated. Be careful not to let it get too dry but if that does happen just add in some extra chicken stock.
- Serve with taco shells or tortillas topped with grated cheese, shredded lettuce, guacamole and sour cream.
Notes
- If you find that the mix seems a bit dry whilst your cooking just add in some more stock or salsa. I cooked this once and didn’t have either left so I added in some tomato sauce. It was delicious!
- This recipe freezes well.
- If you are cooking for a smaller group just halve the ingredients.
- Chicken is also great in lettuce cups topped with guacamole and sour cream.
